Paying for Room Bookings

When rooms are created you can set whether or not they require payment. If payment is required you can choose between payment in advance or on the day.

It's possible to select more than one payment option. If you do the person making the booking will be able to choose between them.

Without Approvals

If payment is required but the approval process hasn't been set up, the payment methods behave as follows.

Payment in Advance

Bookings that need to be paid for in advance require the booker to make a successful card payment before the booking is confirmed.

Supported payment providers are:

  • Capita
  • PayPal

Staff Actions

If a staff member is making a booking on behalf of a member of the public they are provided with a set of staff actions to log the payment.

Choosing card will redirect the staff member to the configured payment provider with 3D secure checks disabled. Cash and cheque options allow a reference number to be entered.

Payment on the Day

If bookings can be paid for on the day, the booking is created and the confirmation message states the price that will need to be paid. 

With Approvals

If approvals have been set up, all payment options display a confirmation message similar to the one below.

Payment is to be made on the day, the booking is created as soon as it has been approved. Payment in advance generates an email to the person who made the booking with a link they can use to make payment.

Grace Period

Once approved the booker needs to make payment within the payment grace period set in the Configuration and Users. If they don't, the booking will automatically be cancelled.

Recurring Bookings

When a recurring booking is made that doesn't require approval, the user pays for all of the occurrences in one transaction at the time of booking.

If a recurring booking does require approval, once approved, the user will receive a separate email for each occurrence and will have to pay for each one individually.
