Viewing and Managing Appointments

Once an appointment has been booked it can be viewed and managed by different users. What a user is able to do will depend on their role. Users and roles are explained in the Configuration section.

Viewing Appointments

The default appointment view form is displayed under several conditions including:

  1. When the appointment is selected from the calendar
  2. When the appointment is assigned to another administrator staff member
  3. When the appointment has been concluded

View Appointment Details
  

The form shows standard details from the appointment and an expandable section showing the full details from the booking form. The full details section is generated from the read only template of the form used to book the appointment.

Managing Appointments

The default appointment management form includes the same information as the read only view. It is used for the following purposes:

  1. For citizens to manage their own appointment
  2. For customer service staff to manage the appointment on behalf of a citizen
  3. For administrators to manage an appointment when the "no processing" model is chosen in the Slot Type Template article extras for the appointment

Amend appointmentWhen this action is selected the user is prompted to confirm that they wish to amend the appointment details. The content of this message is prompt is provided the Email and Message Templates - AmendWarning setting for the application or appointment. On confirmation the user is redirected to the appointment form's Check Your Answers page. From here the user can navigate to the section of the appointment that they wish to update
Change appointment date/timeWhen this action is selected the user is prompted to confirm that they wish to change the appointment date/time. The content of this message is prompt is provided the Email and Message Templates - RescheduleWarning setting for the application or appointment. On confirmation the current appointment reservation is cancelled. The user is then redirected to the date/time offering page of the appointment form. From here the user can select the new time that they wish for the appointment
Cancel appointmentWhen this action is selected the user is prompted to confirm that they wish to cancel the appointment. The content of this message is prompt is provided the Email and Message Templates - CancelWarning setting for the application or appointment. On confirmation the appointment is cancelled and an email sent to the citizen to confirm the cancellation
