Booking a Room - The Room Calendar

The main view a user has of a room is its calendar. You can navigate to the room calendar directly by browsing buildings and floors, or follow links from the room search.

From the room calendar you can see existing bookings and make new ones.

Existing Bookings

The room calendar displays existing bookings (ie when the room is unavailable). When Creating Rooms, the "visibility settings" let you choose whether existing bookings appear as a solid block of colour, showing that the timeslot is unavailable, or if the details of the booking (name, type, status) are also visible. You can also restrict this information to certain user groups.

Booking Form

To make a booking, search for or browse to the room you'd like to book and click on an available time slot. This loads the booking form. Alternatively you can press the "Book" button in your room search results.

Room Details

The form displays information about the room, like its location, capacity, type and facilities. You can view a floor plan if one was uploaded when the room was created. All of this information is set when Creating Rooms.

Meeting Details

The booking form lets you enter the meeting title, the name, email address and phone number of the person responsible for the booking, and enter the details of the person the booking is for (ie the person who will be using the room). If you are logged into the site these details will be pre-populated from your user profile.

Meeting details may include a drop-down for the booker to pick the purpose of the booking. The options in the drop-down are taken from the purposeOptions in the Room Booking configuration end point. If no options are configured, the field won't be present.

Dates and Times

The second tab lets you set the date and time of the booking, and set up any Making Recurring Bookings. if you entered date and time filters when searching for a room they will pre-fill these fields, but can be changed. When you make changes use the "Check availability" button to make sure the room is free at that time. If it's not, you'll see a warning.

Approvals

When rooms are created you can decide whether or not bookings in them are subject to approval. If they are, the booker will see the following message once they have submitted their booking.

Confirmation

Room Bookings sends a confirmation email to the person entered as the "booker" with a copy of all of the booking details.

Rooms are articles that use the Slot Booking Template. They are best created by completing the contribute form for rooms rather than directly in iCM.
