Once you've created an event, you'll need to set when and where it takes place using the scheduling form.
This article is a high-level introduction to scheduling events. For more detailed information see the Scheduling Events and Creating Tickets page
User groups
Security groups are used to restrict who can create, schedule and manage events. The main user group is called bookandpayadmin. See Users and Accounts for more information.
Creating an Instance
Click on the "Add Date" button when viewing an event or the "Create new instance" action on the Self Service template to schedule the date and time of your event.
If you're working in iCM use the "Events-Schedule" shortcut on the iCM home page, then select the event you would like to schedule from the drop-down field at the top of the form. This field displays articles using the Event template. Only articles that you have security access to will be listed.
Dates and Times
Enter your event's start date. If the event spans multiple days, checking the multi-day checkbox will reveal a field for the end date.
Enter the start and end times using an HH:MM format.
Location
The location drop-down displays all articles that use the location template. It might also display "use event default location" which allows the details set in the event article's extra tab to be used instead.
Recurring Events
Check the "Add additional dates" checkbox to reveal the recurrence controls. These controls let you define a range of repetitions, then add them to a list of dates. Multiple repetitions can be defined and added to the list. Individual dates can also be removed form the list.
Date Range
The "From" and "To" date pickers let you set the date range between which the event occurrences will repeat.
Occurrence
The occurrence drop-down has three options.
Daily Options
Selecting "Daily" allows you to then choose "Every day", "Week days", or "Weekends". Press "Add to list" to populate the list of dates with all of the type of day selected that fall within the chosen date range.
Weekly Options
Selecting "Weekly" reveals the weekly options. You are now able to select the days of the week on which the event should repeat. Press "Add to list" to populate the list of dates with the days of the week that fall within the chosen date range.
Monthly Options
The monthly options can be used to set an event to repeat on either a day of the week, for example the second Tuesday, or a set day, for example the 11th, within the month. Press "Add to list" to populate the list of dates with the day of the month for each month that falls within the chosen date range.
List of Dates
Once a repeat range has been added to the list of dates, individual instances can be removed, allowing you to fine tune the repeats. Additional repetitions and date ranges can also be added to the list.
No occurrences are created until the "Next" button is clicked, moving you to the final confirmation page of the form.
Submit
The final page of the form displays a summary of the form and provides a submit button which will create all of the occurrences.
